Your Cleaning Business Has Outgrown the Software It Rents

Most residential and commercial cleaning companies start on an off-the-shelf platform, and for the first year that is exactly the right call. Then the business grows past what the platform was designed to do. You want a quote form that prices your way — by bedrooms and bathrooms, by square footage, by add-ons like inside-the-fridge or interior windows, with a first-clean surcharge and a returning-customer discount. You want recurring bookings that survive a skipped week without collapsing the whole schedule. You want your crews to see the property notes, the alarm code, the pet warning and the checklist on their phones, and to send back before-and-after photos that stop the "it wasn't cleaned" email before it is written.

Instead you are paying a monthly subscription — commonly somewhere between $19 and $259 a month on published plans, more once you add seats, SMS credits, payment add-ons and a second tool to cover the gaps — for a product that will never quite do those things, because it is built for the average of ten thousand cleaning companies rather than for yours.

This page explains what a custom cleaning business booking system actually contains, what it costs in US dollars, how long it takes, and — importantly — when it is not worth building. We are a software company; we would rather tell you the honest answer than sell you a project that never pays for itself.

The Break-Even Maths — Read This Before You Commit

A custom build is a one-off capital cost that replaces a forever cost. Whether it makes sense is arithmetic, not opinion. Take what you pay across every tool in your stack — booking platform, scheduling, invoicing add-ons, SMS credits, a separate timesheet app — multiply by twelve, and compare it to the build price. Three honest scenarios:

Subscription savings are only half the return. The larger half is operational: an instant-quote form that converts visitors at 2am instead of waiting for a callback, recurring schedules that stop double-bookings, and photo evidence that ends re-clean disputes. If your quote-to-booking rate rises even a few points on a $700,000 book, that alone can outweigh the software licence you cancelled. Plan figures above reflect publicly advertised pricing at the time of writing — always check your own invoices and current vendor pricing before deciding.

What We Build: The Complete Cleaning Company App

Every build is scoped to your workflow, but these are the seven components that make up a full maid service booking app and dispatch system. You can take all of them or start with the ones that hurt most.

1. Instant-quote booking form

A customer picks bedrooms, bathrooms, square footage or property type, chooses standard, deep, move-out or post-construction, ticks the extras, sees a real price immediately, picks a date from live crew availability, and pays or authorises a card. No callback, no "we will get back to you", no lost lead. Your pricing rules, zone surcharges, minimums and promo codes are all configurable by you afterwards, without calling a developer.

2. Recurring bookings that behave

Weekly, fortnightly, every four weeks or a custom cadence, each with its own rate. Customers can skip a single visit, pause for a holiday, reschedule one occurrence without breaking the series, or cancel with the notice period your terms require. The system generates the next occurrences automatically and warns you when a recurring slot is about to clash with a one-off job.

3. Crew app: checklists, photos, GPS

An iOS and Android app for cleaners. Today's route, property notes, alarm codes, parking and pet warnings, a room-by-room checklist they tick off, before-and-after photo capture, and GPS-stamped check-in and check-out. It works offline in basements and rural properties and syncs when signal returns. Photos and timestamps end most billing and quality disputes on the spot.

4. Scheduling & crew dispatch

A drag-and-drop calendar by crew, by day and by week, with travel-time awareness so you stop booking a 9am on one side of town and a 10am on the other. Assign teams or individuals, handle sick-day reassignment in seconds, block out unavailability, and see instantly which slots are still sellable. This is the same field-service dispatch logic behind our dispatch and fleet tracking software, adapted for cleaning crews rather than vehicles.

5. Invoicing & Stripe payments

Card capture at booking, charge on completion, automatic recurring billing, saved cards for regulars, tips, deposits and cancellation fees, plus automated invoices and dunning for the ones that fail. Stripe is the default; we also integrate Square, GoCardless or a local gateway where your market needs it. Money lands in your account, on your merchant agreement, with no platform clipping a percentage.

6. Customer self-service portal

Customers log in to see upcoming and past cleans, download invoices and receipts, update their card, change their address or gate code, skip or reschedule a visit, tip a cleaner, leave feedback, and refer a friend. Every self-service action is one fewer phone call for your office, and the after-clean photo gallery quietly does your quality-assurance work for you.

7. Franchise & multi-location control

For franchisors and multi-city operators: each location or franchisee gets its own crews, calendar, pricing table, service area by postcode or ZIP, and branded booking page, while head office keeps a roll-up dashboard across every unit — revenue, job counts, average ticket, cancellation rate, crew utilisation and royalty calculations. Role-based permissions mean a franchisee sees only their own territory and their manager sees only their own crews. Adding location number thirteen costs you nothing extra, which is precisely the opposite of a per-location subscription.

Fixed USD Pricing

Three tiers, quoted in writing before a line of code is written. The price does not move unless you change the scope, and you own everything at the end.

Starter

$8,000

6–8 weeks

Instant-quote booking form, recurring schedules, admin calendar and crew assignment, mobile crew app with checklists and photo capture, Stripe payments, email confirmations. Right for a company running roughly 5–15 cleaners.

Growth

$14,000

8–12 weeks

Everything in Starter plus GPS check-in/out, customer self-service portal, automated invoicing, dunning and SMS reminders, payroll-ready timesheets, quality checklists with scoring, and a reporting dashboard. Right for 15–40 cleaners.

Franchise

$20,000

12–16 weeks

Everything in Growth plus multi-location or multi-franchisee architecture, per-location pricing, branding and service areas, head-office roll-up and royalty reporting, role-based permissions, and API access. Right for franchisors and 40–60+ cleaner operations.

Third-party costs sit outside the build price and stay in your name: hosting (typically $30–$120 a month depending on volume), Stripe's processing fees, SMS credits, and the Apple and Google developer accounts if you publish the crew app to the stores. We can also ship the crew app as an installable web app to skip store fees entirely. See our full development pricing page for how we structure payments and milestones.

How the Build Runs, Week by Week

No black box, no three-month silence. You get a staging link in week two and a demo call every week.

Week 1 — Workflow mapping and pricing rules

We sit with you (by video) and document exactly how you quote, schedule, dispatch, bill and follow up today. Your pricing table, your service areas, your cancellation policy, your checklist per service type. If you are on ZenMaid, Launch27, BookingKoala or MaidCentral, we treat your current setup as the starting specification and export your data.

Weeks 2–3 — Booking flow and admin calendar

The instant-quote form and the recurring-booking engine go live on staging. You book test jobs yourself, on your real pricing, and tell us what feels wrong before anything else is built on top of it.

Weeks 4–5 — Crew app on real phones

We install the Flutter crew app on your own device and on a cleaner's. Checklists, photo capture, offline mode and GPS check-in get tested in an actual property, not in a simulator, because that is where the awkward details show up.

Weeks 6–8 — Payments, invoicing and reporting

Stripe goes in with test cards, then live keys under your own merchant account. Automated invoices, reminders, dunning and the reporting dashboard follow, along with your timesheet and payroll export format.

Launch week — Migration, training and handover

Customers, addresses, recurring schedules and pricing are imported. We run a training session for your office team and a short one for crews, publish or install the app, hand over the source code and documentation, and stay close for the first fortnight while real jobs flow through it.

Who Builds It — And Why the Price Is What It Is

Musskart Technology Limited is a registered Nigerian software company. Our headquarters is at 93B Ibusa Road, Umuonaje, Asaba 320104, Delta State, and we have a second office in Abuja. Since 2020 we have delivered more than 250 projects with senior PHP and Laravel engineers, Flutter and React Native developers, and web engineers. We build remotely for clients in the United States, the United Kingdom, Canada, Australia, the UAE and across Nigeria. We do not have an office in your country and we will never pretend otherwise.

What we do have is the reason an $8,000 to $20,000 fixed price is realistic for work a Western agency would quote at three to five times that:

We also build booking systems for other appointment-driven trades — see our booking and appointment website build for salons, clinics and gyms for the same engine in a different vertical, or our field-service dispatch and fleet tracking software for the routing and live-job side of the stack.

Frequently Asked Questions

We build in three fixed USD tiers. Starter is 8,000 US dollars and covers the instant-quote booking form, recurring schedules, an admin calendar, a mobile crew app with checklists and photos, and Stripe payments. Growth is 14,000 US dollars and adds GPS check-in and check-out, a customer self-service portal, automated invoicing and reminders, payroll-ready timesheets and reporting. Franchise is 20,000 US dollars and adds multi-location or multi-franchisee support, per-location pricing and branding, a head-office roll-up dashboard and role-based permissions. Every tier is quoted in writing before we start, and the price does not move unless you change the scope.

Yes. Those products solve the same core problems — online booking, recurring jobs, crew scheduling, invoicing — so we treat the one you use today as the specification. We map your current workflow, rebuild the features you actually use, drop the ones you never touch, and add the parts your business needs that no off-the-shelf tool offers. We also export and import your existing customers, addresses, recurring schedules and pricing rules so you are not retyping years of data. The result is your software, on your domain, with no per-user or per-booking subscription.

Typically six to eight weeks for the Starter build, eight to twelve weeks for Growth, and twelve to sixteen weeks for the Franchise build. Week one is discovery and workflow mapping, weeks two and three cover the booking flow and admin scheduling, weeks four and five the crew app, and the remaining weeks cover payments, reporting, testing on real devices and launch. You see a working staging link from week two and review progress every week, so nothing is a surprise at the end.

Yes to both. The crew app is built in Flutter and runs on iOS and Android from one codebase. Cleaners can open the job, work the checklist and capture before-and-after photos with no signal in a basement or a rural property, and everything syncs the moment the phone reconnects. GPS is captured at check-in and check-out to confirm the cleaner was on site, which settles most billing disputes. We do not track staff continuously between jobs — location is recorded at those job events only, which is both more respectful and simpler to defend under GDPR, UK GDPR and US state privacy rules.

Yes, completely. On final payment the full source code, database schema and deployment scripts are transferred to your own GitHub or GitLab account, and the app runs on hosting in your name. There is no licence fee, no per-cleaner seat charge and no lock-in. If you later hire an in-house developer or move to another agency, everything they need is already yours, documented and handed over. We offer an optional monthly support and hosting plan, but it is a choice, not a condition of keeping your software running.

Musskart Technology Limited is a registered Nigerian company headquartered in Asaba with an Abuja office, and we build remotely for clients abroad. Our engineers are native English speakers and we work on UTC+1, which gives full working-day overlap with the UK and Europe, reaches Australian teams in their morning and US teams in their afternoon. You get senior PHP, Laravel and Flutter engineers at a fraction of Western agency rates, weekly demo calls, a shared staging link you can test at any time, and complete ownership of the code. We do not have an office in the United States, the United Kingdom, Canada or Australia and we never claim one.
