Who This Page Is For

You are a registrar, an ICT director or a bursar, and every session brings the same three weeks of chaos. Queues outside the registry for course forms. A results backlog because officers still compute grade points in Excel. Transcript requests arriving by phone call. A fee reconciliation that never matches the bank. And an accreditation visit coming.

A tertiary-institution portal fixes that by making one record the truth for a student from application to transcript request ten years later. Musskart Technology Limited builds those portals for private universities, polytechnics, colleges of education and colleges of nursing — custom-built and owned by you, not rented from a vendor holding your data.

We reply on WhatsApp within minutes. Send your module list, or just your student numbers and programmes, and we will tell you the same day what it costs.

What a Tertiary-Institution Portal Contains

Institutions ask for “a student portal” and discover halfway through that what they need is closer to an ERP. Here is the module map — you do not need all of it on day one, and what you skip can be added later without a rebuild.

Applications & post-UTME screening

Forms per programme, screening PIN purchase, O-level entry with grade validation, credential uploads, and scoring against your committee's approved criteria.

Admissions & matriculation

Offer letters as PDFs, acceptance-fee payment, clearance checklists, photo capture, and matriculation numbers allocated by faculty, department and year.

Course registration

Course structure per level, carry-over detection, credit-unit limits, prerequisite checks, level-adviser approval, and a printable form your registry accepts.

Results & CGPA computation

Continuous assessment and examination entry, board approval before publication, automatic GPA, CGPA and classification, and locked versions with an audit trail.

Fees, bursary & receipting

Fee schedules by programme and level, instalments, Remita and Paystack collection, automatic receipting, and a live debtor list before examinations.

Transcripts & verification

Transcript requests with payment, routing through exams and records, dispatch tracking, and a public page where employers verify a certificate by reference.

Hostel allocation

Block, room and bed-space inventory, eligibility rules, first-come or ballot allocation, payment before confirmation, porter lists and a per-session clear-out.

Staff, HR & alumni

Staff records with qualifications and ranks, teaching-load allocation, leave and appraisal, payroll integration, and an alumni register for verification and convocation.

Admissions and Post-UTME Screening, Done Properly

Admissions is where a portal either earns its money or embarrasses you publicly, because thousands of candidates hit it at once on the day screening opens. Three things matter.

It has to survive the rush

We load-test before screening opens, cache static pages, queue heavy jobs and put uploads on object storage. Candidates on weak networks get forms that save progress as they type.

Payment must be verified, not trusted

Screening fees go through Remita or Paystack and are confirmed server-side before a form is released. That kills two classic frauds: forged bank tellers, and one PIN circulated among twenty candidates.

Scoring must match your approved policy

Your committee defines the weighting — UTME score, O-level grades, catchment, departmental cut-offs — and the portal applies it consistently, then shows the working. Overrides require a reason, and the reason is logged.

Be clear about roles: Musskart builds the technology; JAMB runs admissions. Your recommended list is exported in the format JAMB requires and uploaded on CAPS by your admissions office, and successful candidates are matched back by registration number so admission letters and matriculation numbers flow automatically.

Course Registration, Results and the CGPA Engine

This is what off-the-shelf products get wrong in Nigeria, because our grading is not one national standard — it is your senate's or academic board's standard. A polytechnic running ND and HND computes differently from a university on a five-point scale, and a college of nursing has its own progression rules again.

So we build the engine as rules you configure, not code we hard-wire: grade bands and points, credit-unit limits per level, carry-over and repeat handling, how a resit is capped, whether GPA is weighted by units, and which body approves results. Change a rule for a new session and past sessions keep computing as they always did.

To run examinations on computer rather than paper, see our guide to CBT exam software development in Nigeria — it plugs into the same student records so scores flow straight into results.

Fee Collection, Bursary and Reconciliation

Money is the module your bursar will judge you on. The portal issues an invoice per student per session on the right schedule for their programme, level and status, supports instalments where your council allows them, and collects through Remita — the route most public institutions must use — or Paystack and Flutterwave for private institutions that prefer card, transfer and USSD.

Payments are confirmed against the gateway before a receipt is issued, and reconciliation reports break collections down by faculty, department, level and fee type. Students who have not paid are blocked from registration or examination clearance according to your policy, and unblocked the moment payment confirms — no walking to the bursary with a teller.

Where students are funded by the Nigerian Education Loan Fund (NELFUND) under the Student Loans Act, the portal holds them on a separate funding status so disbursements are recorded against the invoice, not mistaken for personal payment. We build the record-keeping; applications and disbursement remain matters between the student, your institution and the Fund.

Transcripts, Verification and the Alumni Tail

Transcript handling is the quiet reputational risk. A graduate applying abroad, a professional body checking a licence, an employer verifying a claim — all judge your institution by how long it takes and whether anyone answers.

The portal makes it a tracked process: the requester applies online, pays the approved fee, names the destination, and watches the status move from received to compiled, signed and dispatched, with an email at each step. Because the academic history is already in the system, compiling a transcript stops being a two-week dig through session files.

The same records power credential verification: a public page where an employer enters a certificate number and sees the programme, class of degree or diploma and year of graduation — nothing more. Alumni records keep contact details current for convocation and endowment.

Accreditation Data for NUC, NBTE and NCCE

Accreditation panels ask for the same things every cycle: enrolment by programme and level, staff lists with qualifications and ranks, student-to-lecturer ratios, carrying capacity against actual admissions, graduation figures, facilities and library holdings. Most institutions assemble that in a fortnight of overtime because the data lives in different offices.

We build an accreditation reporting module that generates those returns from live records, in the shape each regulator asks for — the National Universities Commission (NUC) for universities, the National Board for Technical Education (NBTE) for polytechnics, the National Commission for Colleges of Education (NCCE) for colleges of education, and professional regulators such as the Nursing and Midwifery Council of Nigeria (NMCN) where they apply. Reports export to Excel and PDF for review before submission.

An honesty note. Musskart is a Nigerian software development company. We build the technology that produces your accreditation data — we are not a regulator, an accrediting agency or a certification body, and we do not grant, guarantee or influence any approval. Programme accreditation, institutional licensing and professional recognition are obtained by your institution from NUC, NBTE, NCCE or the relevant council on their terms. What we promise is that when a panel asks for a figure, you produce it in minutes with the workings behind it.

E-Learning Hooks, Security and Data Protection

Most institutions want the portal to talk to a learning platform rather than replace it. We integrate with what you run, or build the learning side ourselves — materials, recorded lectures, assignments and online attendance, keyed to course registration so enrolled courses appear automatically. Our guide on e-learning and LMS platform development in Nigeria covers that build in detail.

A student portal holds some of the most sensitive data an institution has: identity documents, health declarations, next-of-kin details, disciplinary records, financial status. We build to the Nigeria Data Protection Act 2023, enforced by the Nigeria Data Protection Commission (NDPC).

Compliance is shared. We build the controls and hand you the evidence; your institution registers as a data controller where required, appoints a data protection officer and files its own returns to the NDPC.

What It Costs in Naira

Treat these as honest bands rather than a menu. What moves the number is the count of modules, how many programmes you run and how complex their grading is, how messy the legacy data is, and whether you need a mobile app and computer-based testing.

Core Portal

₦5M – ₦12M

Applications and screening, admissions and matriculation numbers, course registration, result computation and checking, fees via Remita or Paystack, role-based admin.

Full Academic Suite

₦12M – ₦25M

Everything in Core plus transcripts and verification, hostel allocation, bursary and receipting, staff records, accreditation reporting, notifications and a student app.

Institution-Wide ERP

₦25M – ₦40M

The suite plus payroll and HR, procurement and stores, library and clinic, alumni and endowment, a learning platform and CBT, with migration from legacy systems.

Outside the build price: hosting, SMS and email credits, gateway transaction charges, SSL and domain, and an optional annual support retainer — commonly 15 to 20 percent of build value — covering session rollovers and priority response during registration peaks. Payment is staged, so you see working software before the balance falls due. See our full pricing, or request a written quote against your exact module list.

Timeline — From Signed Scope to a Live Session

Weeks 1–3 — Discovery with the people who do the work

We sit with the registry, exams and records, bursary, hostel and ICT — not only management — and write down the actual rules: grading bands, credit limits, fee schedules, approval chains and the exceptions nobody documented.

Weeks 4–9 — Core build

Applications, admissions, course registration and the results engine are built and reviewed fortnightly on a staging link your team can log into. Data migration runs in parallel with a reconciliation report per department.

Weeks 10–14 — Payments, testing and training

Gateway integration, security testing, load testing against your expected applicant peak, then hands-on training for registry, bursary and departmental officers with a manual and recorded walkthroughs.

Go-live and the first session

We go live on one module group, usually applications or registration, and stay close through the first full registration and result-publication cycle. Later modules land in phases.

A Core Portal typically runs 10 to 14 weeks, a Full Academic Suite four to seven months, and an institution-wide build eight to twelve months — phased so value arrives long before the last module does.

Procurement Notes for Registrars and ICT Directors

One thing worth saying plainly: these projects are almost never failed by the software. They fail when nobody in the registry owns the rollout, when grading rules are still being argued in month four, or when legacy data arrives three weeks before go-live.

Frequently Asked Questions

A tertiary-institution portal from Musskart costs ₦5 million to ₦40 million. A Core Portal — applications, post-UTME screening, admissions, course registration, results and Remita or Paystack fees — runs ₦5M–₦12M. Adding transcripts, hostel allocation, bursary, staff records, accreditation reporting and a student app runs ₦12M–₦25M. An institution-wide build runs ₦25M–₦40M. Hosting, SMS credits and gateway charges sit outside. Send your module list on WhatsApp for an exact figure.

A Core Portal takes 10 to 14 weeks from signed scope to a live session, a Full Academic Suite four to seven months, and an institution-wide build eight to twelve months in phases. The biggest variable is not code but data: how clean your student records, course structures and past results are, and how fast the registry and heads of department sign off the grading rules.

Yes — out of Excel workbooks, old PHP portals, Access databases and paper registers. We map your fields to the new data model, run a test migration with a reconciliation report showing counts per department and level, then do the final load in a freeze window. Legacy CGPA values are kept as historic figures, so no graduating student's classification changes. Unmatched records are listed for your staff, never silently dropped.

Yes. Applicants pay online or buy a screening PIN, complete a form, upload O-level results and credentials, and are scored against the criteria your admissions committee sets. Musskart builds the technology; JAMB remains the authority for the national admissions process. You export your recommended list in the format JAMB requires and upload it on CAPS, and admitted candidates are matched back by JAMB registration number to generate admission letters and matriculation numbers.

We build to the Nigeria Data Protection Act 2023, enforced by the Nigeria Data Protection Commission: role-based access, encryption in transit and at rest, audit trails on every result and fee change, defined retention periods, and consent notices at application. Compliance is shared — we build and document the controls; your institution registers as a data controller where required, appoints a data protection officer and files its own returns. We are a software developer, not a regulator or a certification body.

Yes. On full payment the source code, database schema and documentation are handed over and pushed to a repository your ICT directorate controls, so you are never locked to us. We train your ICT staff during the build and hand over an administrator manual, a deployment runbook and recorded walkthroughs. Most institutions still keep a first-year support retainer for session rollovers and registration peaks — a choice, not a condition of ownership.
