Two Pressures Every Multi-Branch Lab Owner Feels
If you run a diagnostic chain, an imaging network or a reference laboratory in Nigeria, two forces are squeezing you at the same time — and generic software makes both of them worse.
The first is quality and reporting pressure. Referring doctors, HMOs, corporate clients and regulators increasingly expect fast, traceable, defensible results. When the NCDC asks for notifiable-disease returns, when an HMO audits your turnaround times, or when you push for ISO 15189 or SLMTA accreditation, you need a full audit trail of every sample — who collected it, which analyzer ran it, who validated the result, and when it was released. Paper registers and disconnected spreadsheets simply cannot produce that on demand.
The second is multi-branch cash control. The moment you open a second or third branch, revenue leaks become almost impossible to see. Tests get run off the books, discounts get handed out at the front desk, cash-ups do not tie back to the tests actually registered, and by the time you spot the gap the money is gone. A generic accounting package cannot fix this because it does not know what a test costs, which sample it belongs to, or which scientist released it.
A custom laboratory information system (LIMS) solves both at once: it gives your scientists a clean, traceable workflow and gives you, the owner, one central grip on pricing, cash and performance across every branch. This page explains exactly what we build at Musskart Technology Limited, how it works, what it costs in Naira, and how to get started.
Why Off-The-Shelf Lab Software Fails Nigerian Chains
Most labs start on a spreadsheet, a printed register, or a boxed package designed for a single lab in another country. Each works until you grow. Here is where they break for a multi-branch Nigerian operation:
Spreadsheets don't scale
They cannot track a specimen from collection to release, cannot stop a front-desk price override, and give you no audit trail when an HMO or the NCDC asks for one. Two branches in, the numbers stop reconciling.
Foreign boxed software doesn't fit
It assumes one site, foreign currency, foreign reporting formats and analyzers you may not run. Licence fees are billed abroad, support is offshore, and the reports never quite match what your regulators want.
Disconnected branches
When each branch keeps its own separate system, you can never see live group revenue, shared debtors or a patient who tested at two different sites. Referral work between your own branches becomes guesswork.
No central price and cash control
Without one central catalogue and shift reconciliation, undercharging and off-book tests are invisible. Owners only find the leak months later, in a bank balance that never matches the workload.
A custom build fixes the fit problem permanently: it is designed around your branches, your test menu, your analyzers and the reports your regulators actually ask for — and you own it outright, with no per-seat foreign licence draining your account every month.
What We Build Into Your Custom LIMS
Every system is scoped to your operation, but a full multi-branch build usually includes these core modules working together on one platform:
Specimen Tracking & Barcoding
Every sample gets a unique barcode at collection and is scanned at each stage — reception, processing, analysis, storage and disposal. You always know exactly where a specimen is and who handled it, ending mix-ups and lost samples.
Central Test Catalogue
One master list of every test, panel, reference range, sample type and price. Priced centrally so every branch charges the same, with controlled overrides that are always logged against a named user.
Analyzer & Instrument Integration
Bidirectional interfaces over ASTM and HL7 pull results straight from your analyzers into the patient record — no re-typing, no transcription errors, and a record of which machine produced which result.
Results Validation & Release
Rule-based flagging, delta checks and multi-level sign-off. Results only reach the patient after an authorised scientist validates them, with the full review history kept for audit and accreditation.
Branch Cash Reconciliation
Per-branch shift cash-ups that reconcile against the tests registered and payments taken. Live group revenue, debtors and per-branch performance from one owner dashboard.
Patient Results Portal
A secure, access-controlled portal where patients and referring doctors view released results online, with SMS and WhatsApp notification the moment a result is signed off.
Referral Management
Track work referred in from clinics and doctors and work referred out to reference partners, with the correct pricing, commissions and turnaround visible on both sides of the referral.
NCDC & Quality Reporting
Turnaround times, sample rejections, quality-control runs, corrective actions and notifiable-disease returns captured for NCDC reporting and ISO 15189 / SLMTA preparation.
Roles, Access & Audit
Granular permissions per role and per branch, so staff see only what they should. Every action — void, refund, override, release — is logged with a tamper-evident history.
How a Specimen Flows Through the System
The heart of any LIMS is the specimen journey. Here is the traceable path we build, from the moment a patient walks into any branch to the moment they read their result on their phone.
1. Registration & order entry
The front desk registers the patient once, group-wide, and orders tests from the central catalogue. Pricing is applied automatically, payment is recorded, and any discount is captured against the staff member who gave it.
2. Collection & barcoding
Each sample is labelled with a unique barcode at collection. From this point every touch is a scan, so the specimen can never be confused with another patient's or silently go missing.
3. Analysis & instrument capture
The barcode is scanned at the analyzer, results flow back automatically over the ASTM/HL7 interface, and the system records which machine and which run produced the value — no manual transcription.
4. Validation & sign-off
Abnormal or out-of-range values are flagged for review. An authorised scientist validates and releases the result, and the full review trail is kept for quality and audit.
5. Delivery to patient & doctor
On release, the patient is notified by SMS and WhatsApp with a secure link to the results portal, and the referring doctor sees it in their own login — no return trip to the branch for a printout.
6. Reconciliation & reporting
At shift close, the branch cash-up reconciles against the day's tests and payments, and the data feeds straight into group revenue, turnaround and NCDC/quality reports.
Getting a Grip on Cash Across Every Branch
For most owners, this is the module that pays for the whole system. When tests are priced from one central catalogue and every cash-up must reconcile against the work actually registered, the common leaks close:
No more off-book tests
A result cannot be released unless the test was registered and priced in the system, so front-desk staff cannot quietly run work for cash on the side.
Controlled discounts
Price overrides and discounts require permission and are logged against a named user, so generosity at the counter is visible and accountable.
Live owner dashboard
See today's revenue, outstanding HMO and corporate debtors, and per-branch performance from your phone — without waiting for a month-end report that never quite adds up.
Shift cash-ups that tie out
Each branch closes its shift and the system reconciles cash, transfer and POS against the tests registered, flagging any gap before it becomes a habit.
The result is simple: the work your branches do and the money that reaches your account finally match, and you can prove it.
What a Custom LIMS Costs in Nigeria
We build to a fixed, written scope and quote in Naira — you own the system outright, with no per-seat foreign licence draining your account each month. As a guide, custom LIMS builds fall into three bands:
Single Lab
₦3M – ₦5M
One site. Patient registration, central test catalogue, specimen barcoding, results entry and validation, and core reporting. The right starting point for a growing standalone lab.
Multi-Branch Chain
₦5M – ₦9M
Several branches on one platform: central pricing, branch cash reconciliation, an owner dashboard, a patient results portal with SMS/WhatsApp delivery, and referral management.
Reference Lab Platform
₦9M – ₦12M
Full analyzer integration across many instruments, advanced results validation, NCDC and ISO 15189 / SLMTA-ready reporting, doctor portals and high-volume workflow for a reference operation.
The final figure depends on your branch count, how many analyzers need integrating, and which modules you need on day one versus later phases. For a line-by-line breakdown across our services, see our full pricing, and read our guide to hospital management software in Nigeria if your lab sits inside a wider hospital operation.
How We Deliver — From Scope to Go-Live
We run every LIMS project in clear phases so you see working software early and nothing breaks in the switch-over.
Phase 1 — Discovery & scope
We sit with your scientists and front desk, map your test menu, branches and analyzers, and agree a fixed written scope and Naira quote. You know exactly what you are getting before a line of code is written.
Phase 2 — Core build
Registration, central catalogue, specimen barcoding, results entry and validation go in first, so your team can start working in the real system while later modules are still being built.
Phase 3 — Integration & portals
We connect your analyzers, stand up the patient and doctor portals with SMS/WhatsApp delivery, and wire in branch cash reconciliation and referral management.
Phase 4 — Data migration & training
We migrate your existing patient and results history from old software or spreadsheets, then train each branch on the workflow that matches their real day.
Phase 5 — Supervised go-live & support
We run the new system alongside your current process during go-live so no samples or revenue are lost, then support you after launch with fixes, tweaks and new reports as your regulators' requirements change.
