What Actually Happens at the Gate Today
A visitor arrives. The guard calls the resident, who may not pick up. If they do, the guard writes a name in a paper ledger — frequently illegibly, sometimes not at all when a queue forms. The vehicle goes in. Three weeks later something is stolen and the estate wants to know who came through that afternoon, and the answer is a book with forty entries, half unreadable, no phone numbers, and no way to search it.
Meanwhile the guard on night patrol may or may not have walked the perimeter, and nobody can tell. When something serious happens, word spreads through a WhatsApp group that not everyone is in, at whatever speed people happen to be looking at their phones.
This is a records and communications problem before it is a hardware problem. Estates routinely spend heavily on cameras while the entry record remains a paper book nobody can search. Cameras tell you what happened after you already know to look; a visitor record tells you who was there, and an alert system reaches people while it still matters. Both are software, both are comparatively cheap, and both are usually missing.

The resident invites, the gate scans
A resident expecting a guest creates an invitation in the app and the visitor receives a code by WhatsApp or SMS. At the gate the guard scans it, sees the visitor's name, who they are visiting, and the validity window, and admits them in seconds with no phone call. One-off codes, recurring codes for a domestic staff member or a regular delivery, and codes with an expiry so last month's guest cannot walk back in.
Unexpected visitors, handled properly
For someone who arrives unannounced, the guard captures their details and photograph on a tablet and the resident receives a push notification with that information and an approve or decline button. No more guessing from an unanswered call, and the decision is recorded against the resident who made it.
Deliveries, artisans and ride-hailing
The categories that generate most gate traffic and most friction. Delivery riders logged against the receiving unit, artisans and contractors with a work order and an expected duration, ride-hailing drivers checked in and out. Estates that handle these badly end up with a permanent queue at the gate and residents who bypass the system entirely.
Vehicles and residents
Resident vehicles registered with plate numbers for fast recognition, visitor vehicles logged with plate and occupant count, and an exit record so you know what is still inside. Where an estate has already procured plate-recognition cameras we integrate with them; where it has not, a guard typing a plate into a tablet achieves most of the benefit at a fraction of the cost.
The output that matters is the searchable record: every entry and exit with time, identity, host, purpose and vehicle, queryable by date, unit, name or plate in seconds. That is the thing a paper ledger can never give you and the reason most estates buy this.
Guards, Incidents and Emergency Communication
Patrol verification
NFC tags or QR codes at defined checkpoints that a guard scans on each round. The system records who patrolled, where and when, and flags missed rounds to the supervisor in the morning. This is not about distrusting guards; it is about being able to demonstrate that the service you are paying for was delivered, which is also what your security contractor should welcome.
Shift and post management
Who is on duty at which post, clock-in with location, handover notes between shifts, and an attendance record you can reconcile against your security provider's invoice. Estates commonly discover they are paying for more guard-hours than were actually worked.
Incident reporting
Guards and residents log incidents with photographs, location and category, routed to the facility manager and the security provider, tracked through to resolution. Over time this produces something no estate currently has: a pattern. Which gate, which hours, which category, trending which way.
Panic and emergency broadcast
A resident panic button that alerts the control room and nearby guards with the unit and location. And a broadcast that reaches every resident at once by push, SMS and WhatsApp simultaneously, because a WhatsApp group reaches only the people in it who happen to be looking. Delivery is tracked so you know who has not been reached.
Roll call and accountability
For schools and campuses particularly, the ability to account for everyone quickly during an incident, and to confirm that a child leaves only with an authorised guardian. Pickup authorisation is the single most requested feature from Nigerian schools and it is straightforward to build.

Gated estates
Residents, visitors, domestic staff, artisans and deliveries. Usually bought by the residents' association or facility manager, and usually alongside the service charge and utility systems they already need.
Schools
Pickup authorisation is the priority — a child leaves only with a guardian the parent has authorised, verified at the gate. Plus visitor screening, contractor access, roll call, and an alert channel to every parent that does not depend on a class WhatsApp group.
Campuses and corporate
Staff and student access, contractor induction and permit-to-work, asset movement passes so equipment does not leave without authorisation, and integration with existing turnstiles or door controllers.
Data protection is not an afterthought here. You are collecting names, phone numbers, photographs, vehicle plates and precise movement records — including of children in a school deployment. That is sensitive personal data under the Nigeria Data Protection Act, and an estate or school holding it at scale may well be a data controller of major importance with NDPC registration and annual audit obligations. We build retention rules so visitor records are purged on a defined schedule rather than kept forever, access control so a guard cannot browse resident data, logging of every record view, and a documented lawful basis per purpose. Start with visitor management alone. Eight to twelve weeks, it is the part residents notice immediately because the gate stops being a bottleneck, and it produces the searchable record that justified the project in the first place. Patrol verification, incident tracking and emergency broadcast follow once the gate flow is embedded and guards are comfortable with the tablet.
The adoption risk is residents, not guards. If half the estate does not use the invitation feature, guards fall back to phone calls and the record is incomplete. Budget for onboarding: a launch session, printed instructions at the gate, and a two-week period where guards help residents create their first invitation. Estates that skip this get a system with sixty per cent coverage, which is worth considerably less than it sounds.
