Who This Page Is For

You distribute physical goods. Food and beverage, FMCG, building supplies, pharmaceuticals, packaging, auto parts, janitorial. Somewhere between two and fifty million dollars comes through the business each year, you carry a few thousand SKUs, and you serve hundreds of trade accounts who each pay a different price for the same case of stock.

And the orders still arrive as a mess. A voicemail from a store manager. A photograph of a handwritten sheet on WhatsApp. An email that says "usual order, plus two extra of the blue one." A rep who takes orders on a paper pad and keys them in from a hotel room at nine at night, by which point the stock is gone and half the line items are wrong. Somebody in the office rekeys every one of them into the accounting system, and the mistakes cost you credit notes, redeliveries and the goodwill of your best customers.

The fix is a B2B ordering portal your customers use themselves, plus a sales-rep app that works with no signal, both wired straight into the system that already holds your prices, stock and credit balances. Musskart Technology Limited builds that as custom software you own outright, at a fixed price, instead of a per-user subscription that grows every time you hire a rep.

We reply on WhatsApp within minutes. Send us your SKU count, customer count, rep count and the name of your accounting system, and we will tell you the same day whether you are looking at a $12,000 build or a $35,000 one.

What We Actually Build

A distributor ordering system is three surfaces sharing one brain. The customer portal, the rep app, and the back office that ties both to your accounting or ERP system. Here is what sits inside each.

Customer-specific price lists

Every buyer logs in and sees their own prices, never a public one. We model the whole ladder you really use: base price, customer tier, contract prices on named lines, volume breaks by quantity, case versus each, and a per-customer override that beats everything else. Prices come from your accounting system so there is exactly one version of the truth.

Credit limits and account holds

Checkout checks the live balance and ageing before the order is accepted. Over-limit or past-due accounts are blocked, routed to a manager for approval, or offered card payment before release — your rule, not ours. Reps see the same position in the field, so finance stops cancelling orders the morning after they were taken.

Offline sales-rep ordering app

An iOS and Android app that holds the catalogue, that customer's price list, their credit position and their history on the device. Reps take a full order in a stockroom with no bars of signal, capture a signature, print or email a copy from a Bluetooth printer, and everything syncs when coverage returns.

Van sales and direct store delivery

Load a van with stock, sell from it, and settle the round. Van stock counts down as items are sold, invoices are raised and printed on the spot, cash and card takings are reconciled against the load sheet at the end of the day, and returns, damages and empties are recorded rather than argued about.

Promotions and deals engine

Buy-one-get-one, buy ten get one free, mixed-case deals, tiered discounts, launch pricing, end-of-season clearance and time-boxed offers that expire on their own. Rules are set once in the back office and applied identically in the portal and the rep app, so nobody sells at last month's promotion by mistake.

Delivery scheduling and invoicing

Cut-off times per route, delivery day rules per customer, minimum order values, split deliveries and back-order handling. Pick lists and delivery notes print for the warehouse, invoices post to your accounting system automatically, and the customer sees the status of every order without phoning anyone.

Why the Rep App Has to Work Offline

This is the requirement most off-the-shelf tools treat as a footnote and most distributors discover the hard way. Your reps do not work at a desk. They work in cold rooms, basement stockrooms, tin-roofed depots, industrial estates and rural trade routes where the signal is one bar or none at all. A rep app that spins a loading wheel in front of a customer is an app your reps will quietly stop using inside a month, and then you are back to paper.

We design the offline story first. The device carries its own copy of the data it needs, writes to that copy, and reconciles later. That means we have to answer the awkward questions up front rather than pretend they do not exist:

What the device carries

The full catalogue with images, that rep's customers, each customer's own price list and promotions, credit position, outstanding invoices, order history and last-order-again lists. Sized so a route's worth of data fits comfortably on a mid-range phone or tablet.

What happens when stock runs out mid-route

We agree the rule before we build. Either the order is accepted and the short line is flagged for the warehouse to confirm, or the rep sees a soft stock figure with a timestamp so they know how stale it is. Silent over-selling is the one outcome we design out.

What happens when a price changes mid-route

Orders record the price the rep quoted and the version of the price list they held. On sync, anything that moved is surfaced for a human decision instead of being silently repriced behind the customer's back.

Proof the visit happened

Optional GPS stamp on check-in, time on site, photographs of the shelf or the planogram, out-of-stock notes and a survey the rep completes in thirty seconds. This turns the rep app into a field-intelligence tool rather than just an order pad.

Sync that is boring

Queued, retried, resumable, and safe to interrupt. A rep who loses signal halfway through an upload does not lose the order and does not send it twice. Every sync is logged so a supervisor can see exactly which device is up to date.

Integration With Your Accounting or ERP System

A portal that does not talk to your finance system just moves the rekeying somewhere else. The whole point is to remove the manual step, so integration is not an optional extra in our builds — it is the spine.

The usual arrangement: your accounting or ERP system stays the master for customers, products, prices, stock and credit balances. The portal is the master for orders. Reference data flows in on a schedule you choose, confirmed orders and invoices flow back out, and nobody types anything twice.

QuickBooks Online Xero Sage Zoho Books NetSuite Odoo Dynamics 365 Business Central SAP Business One Unleashed / Cin7 Shopify & WooCommerce Stripe & card payments EDI & CSV file exchange Legacy on-premise connectors

Older on-premise systems with no modern API are still solvable. We install a small connector service on your network that reads and writes the files or tables your system already produces, and the cloud portal never needs direct access to your server. If your finance stack is the real bottleneck, our guide to ERP software development and implementation covers the bigger picture, and inventory and warehouse management software covers the stock side in detail.

Build vs Subscribe: Do the Arithmetic on Your Own Invoice

Most distributors reading this are already paying for a subscription platform — Pepperi, Handshake, NuORDER or something similar — and the bill has quietly grown as reps and customers were added. The honest answer to "should we build instead?" is: it depends on your invoice, and here is how to work it out.

Take your current monthly cost, including per-user seats and any module add-ons. Multiply by sixty for a five-year view, because that is roughly how long a well-built system serves before it needs serious rework. Then compare it with a one-off build plus hosting.

Run those numbers honestly and the answer sometimes goes the other way. If your bill is $200 a month, you have twelve reps and no plan to grow, the subscription is genuinely cheaper and we will say so on the first call rather than sell you a build you do not need. Custom wins when your seat count is climbing, when your pricing or promotion rules keep hitting the edge of what the product allows, when you need an integration the vendor will not write, or when you want the software on your balance sheet as an asset rather than as rent.

Related build: multi-vendor commerce at scale

The catalogue, pricing, order and settlement engine behind a B2B portal is close cousin to the marketplace work we have shipped. See the ETK Mall multi-vendor marketplace case study for a worked example of the same architecture handling many sellers, many price rules and one order pipeline.

Fixed-Price Build Tiers (USD)

We quote a fixed price against a written scope before any code is written. These are the three shapes almost every distributor lands in. Payment is milestone-based, and the price does not change because you added users.

Portal

from $12,000

Customer self-service ordering portal: login per trade account, customer-specific price lists, catalogue with images and case sizes, fast reorder from history, order tracking, minimum order rules, and a scheduled product, price and stock feed from your accounting system.

Typically live in 8–10 weeks.

Portal + Rep App

from $22,000

Everything above plus the offline iOS and Android sales-rep app, credit limits enforced at checkout, the promotions engine, rep territories, targets and visit reporting, and two-way sync with QuickBooks, Xero or your ERP for orders and invoices.

Typically live in 12–16 weeks.

Full Distribution Suite

from $35,000

Everything above plus multi-warehouse and multi-branch stock, van sales with mobile invoicing and payment capture, delivery scheduling and route planning, driver proof-of-delivery, back-orders, returns and credits, EDI or legacy connectors, and a management analytics dashboard.

Typically live in 16–24 weeks.

What moves the number: how many integrations you need, how unusual your pricing and promotion rules are, whether historical data has to be migrated, and whether the rep app needs hardware such as Bluetooth printers, barcode scanners or rugged devices. What does not move it: the number of customers, reps or orders you put through it afterwards. Optional support and hosting retainers start at $400 a month, and nothing stops working if you decline one. Full package details sit on our pricing page.

How the Project Runs

No discovery invoice before you know what you are buying, and no vanishing for three months and reappearing with a surprise.

Week 0 — Scoping call and fixed quote

Thirty to sixty minutes on your SKU count, customer count, rep count, pricing rules, accounting system and the two or three things that most annoy you today. You get a written scope and a fixed price. Free, and you owe us nothing if you walk away.

Weeks 1–2 — Data and integration mapping

We connect to a sandbox of your accounting system, map every field in both directions, and agree in writing which system wins each disagreement. This is the step that quietly decides whether the project succeeds.

Weeks 2–3 — Clickable prototype

You and one real customer and one real rep click through the actual screens before we build them properly. Changes here cost a conversation; changes after launch cost money.

Weeks 3–12 — Build in two-week sprints

You get a working environment you can log into from the second sprint, and a short demo every fortnight. Nothing is a black box, and priorities can be reordered between sprints.

Pilot — Real customers, real routes

Five to ten friendly accounts and two reps run live for two to three weeks while the old process still exists as a safety net. Every problem found here is a problem your whole customer base never sees.

Rollout, training and handover

Staged rollout by territory or customer segment, short recorded training videos your team can rewatch, written documentation, and the source code, database and deployment handed to you in your own repository and your own cloud account.

Why a Nigerian Engineering Team — Honestly

We are not going to pretend to be down the road from you. Musskart Technology Limited is a registered Nigerian software company with its head office at 93B Ibusa Road, Umuonaje, Asaba, Delta State, and a second office in Abuja. Everything we build for a distributor in Chicago, Birmingham, Dubai, Toronto or Brisbane is built by that team. Here is the straight case for hiring us anyway.

See It Before You Commit

Reading about a pricing engine is a poor substitute for watching one apply your own contract price to your own SKU. Send us a short list — twenty products, three customers with different price levels, one promotion you run — and we will walk you through a live environment showing your data in the portal and the rep app on a call. There is no charge and no obligation.

Book a working demo with your own data

Twenty of your SKUs, three of your customers, one of your promotions, one of your credit rules. Thirty minutes, on your screen, in your working hours.

Frequently Asked Questions

We build to three fixed-price tiers. Around 12,000 US dollars buys a customer ordering portal with customer-specific price lists, order history, reordering and a nightly product and stock feed from your accounting system. Around 22,000 US dollars adds the offline sales-rep mobile app, credit limits enforced at checkout, promotions and two-way sync with QuickBooks, Xero or your ERP. Around 35,000 US dollars covers multi-warehouse or multi-branch operations, van sales with mobile invoicing and payment capture, delivery scheduling and route planning, and deeper integration work. The number moves with the number of integrations and how unusual your pricing rules are, not with how many users you add later. We give you a fixed quote before anyone writes code.

It depends entirely on your monthly bill and how long you plan to stay in business. Do the arithmetic with your own invoice. If a subscription platform costs you 900 US dollars a month once per-user seats are counted, that is 10,800 a year and 54,000 over five years, and none of it is an asset. A 22,000 dollar build plus hosting of roughly 60 to 150 dollars a month pays for itself in a little over two years and then keeps saving. If your bill is only 200 dollars a month and you have twelve reps who will never grow, the subscription is genuinely cheaper and we will tell you so. Custom wins when your seat count is climbing, when your pricing or promotion rules do not fit the product, or when you want the software to be an asset on your books.

Yes, and this is the part we design first rather than last. The rep app carries a local copy of the catalogue, that customer's own price list, their credit position, their order history and their outstanding invoices on the device. A rep in a basement stockroom, a rural trade route or a Gulf industrial estate with no coverage can take a full order, apply promotions, capture a signature and print or email a copy from a Bluetooth printer with the aircraft mode on. Everything queues locally and syncs the moment signal returns, with conflict rules we agree in advance for the awkward cases, such as stock that sold out while the rep was offline or a price list that changed mid-route.

Yes. QuickBooks Online, Xero, Sage, Zoho Books, NetSuite, Odoo, Microsoft Dynamics Business Central and SAP Business One all expose APIs we integrate with, and older on-premise systems can be handled with a nightly file exchange or a small connector service on your network. The usual pattern is that your accounting system stays the master for customers, products, prices and stock, while the portal is the master for orders. Products, price lists, stock levels and credit balances flow in, confirmed orders and invoices flow back out, and nobody rekeys anything. We agree the field mapping and the sync frequency in writing during discovery so there is no ambiguity about which system wins a disagreement.

Every buyer signs in and sees only their own prices. We model the full ladder your business actually uses: base price, customer tier or group, contract prices on named products, volume breaks by quantity, case versus each pricing, seasonal and promotional overrides, and a per-customer discount that trumps the rest. Credit limits are enforced at checkout in real time against the balance from your accounting system, so an account that is over its limit or past due can be blocked, held for approval by a manager or allowed to pay by card before the order is released, whichever rule you choose. Reps see the same limits in the field, which stops the awkward conversation where an order is taken and then cancelled by finance the next morning.

A portal-only build is normally live in 8 to 10 weeks, a portal plus offline rep app in 12 to 16 weeks, and a multi-warehouse build with van sales and delivery scheduling in 16 to 24 weeks, in each case including a pilot with a handful of real customers or reps before you switch everyone over. You own the source code, the database and the intellectual property outright on delivery, hosted wherever you choose, with no per-user licence fee to us and no lock-in. Musskart Technology Limited is a registered Nigerian software company with its head office in Asaba, Delta State and a second office in Abuja. Our engineers are senior, work in native English, and sit in the UTC+1 time zone, which overlaps the full UK and European working day, reaches Gulf clients all afternoon, catches Australian mornings and covers US East Coast afternoons.
